CHILMARK PERSONNEL BOARD MEETING Jan. 10, 2005 – CHILMARK TOWN HALL
CALL TO ORDER: 4:35 pm
PRESENT: Members Jennie Greene, Richard Williams, and Lois Norton. Also present: Selectman - Riggs Parker, Executive Secretary – Tim Carroll, Staff Liaison - Sylvia Yeomans, and Luanne Johnson – Admin. Asst.
MINUTES: The PB will review draft minutes from the 5 January meeting at the next PB meeting.
ORGANIZATIONAL CHART FOR THE TOWN
· In an effort to clearly identify supervisors for each employee and ensure that all aspects of supervision are fulfilled for each employee, the group worked on an organizational chart for the Town that shows all supervisory positions and which positions they supervise. With supervisors clearly defined for each employee, all time sheets can be approved and the performance review process can be improved.
· The group discussed the duties and role of an Administrative Support Coordinator position and the benefits of having such a position to coordinate all administrative support positions for the Town. This position would remove some of the minute details of daily operations from the Executive Secretary so that he can focus on more important matters. The group discussed how the position may or may not work for the Town, how it could be funded, and other details.
· Sylvia departed at 6:11 pm.
OTHER BUSINESS
· The group agreed to take more time to think about this Coordinator position and reconvene at a later date. There was a motion to continue the meeting on Thursday, Jan. 13th at 08:00 AM at the Town Hall. It was seconded, voted, and so carried.
There being no further business, a motion was made to adjourn the meeting. It was seconded, voted and so carried. Meeting adjourned at 6:23 pm
